Incoterms explained simply
Incoterms are commercial rules that define who pays transport, who carries risk and where the supplier responsibility ends. The selected term can change the final import cost.
- EXW: the supplier only prepares the goods. The buyer organizes pickup, export, transport and import. It may look cheap, but it can hide local costs.
- FCA/FOB: the supplier hands goods to the carrier or agreed terminal. From that point, the main transport cost is easier to control.
- CIF/CIP: the supplier includes main transport and insurance, but local charges may appear at destination and must be checked early.
- DAP/DDP: the supplier delivers close to destination. DDP includes import duties only when the supplier can legally and fiscally do it correctly.
Documents needed early
For correct tariff classification and faster customs clearance, documents must be prepared before the goods leave China. The earlier we receive complete data, the easier it is to avoid storage costs and blocked files.
- Commercial invoice with clear product description, real value, currency, seller, buyer and Incoterms condition.
- Packing list with number of packages, gross/net weight, dimensions, packaging type and content per package.
- HS code, material, composition, intended use, product photos, technical sheets or catalogue when needed.
- AWB, proof of payment, EORI for companies or personal data for individuals, plus certificates where required.

It is more efficient when Cargo China speaks directly with the supplier. We verify practical cargo details, documents and shipping terms so the quote stays close to the real final cost.
- We confirm weight, dimensions, pickup address, preparation date and contact person.
- We ask for the right documents before shipment, not after cargo reaches customs.
- We compare air, express, sea or combined routes depending on urgency and budget.
- We reduce hidden costs, volume differences, delays and lost communication between client and supplier.
H7 customs for individuals
For low-value parcels imported into the EU, H7 customs declaration can simplify processing. It is often used for e-commerce parcels and small shipments, including for individuals.
- H7 can be used for goods with intrinsic value up to 150 EUR if the product and shipment meet legal conditions.
- VAT is due on import. In some cases, it may already be handled through IOSS.
- For individuals, we can prepare the required clearance data and check if the parcel qualifies for H7.
- If the shipment does not qualify for H7, we choose the correct import procedure and explain the steps before problems appear.
